Logistics quotation automation
A logistics company needed to process many quotation request emails every day. Each quote required checking routes, transport conditions, pricing from several sources, and exporting a PDF for customer delivery.
When handled manually, the team spent too much time on repetitive work: reading emails, extracting request details, checking price tables, and formatting the final quotation.
Implementation direction
- Read Outlook email (.eml): the system extracts route, cargo type, timing, and relevant shipping conditions.
- Compare pricing data: extracted details are checked against multiple internal rate sources to produce an initial quote proposal.
- Generate quote PDFs: staff review the generated output before sending it to the customer.
The workflow reduced processing time by around 85%, supports three languages, and can run continuously to receive requests outside business hours.
